One of the key success factors of the Lean Budget is to seamlessly assess its progress for a portfolio and evaluate the overall performance of its Themes and Epics during a certain time range.

The Portfolio Budget Tracking and Monitoring analytics helps you achieve that goal by showing the individual transformation of Epic and Theme cards in a bubble chart for a period ranging from the creation of Portfolio Board till the current date.

Prerequisites

To access this chart, you must first enable the Lean Budget module. Read here to know more about how to enable the module in the Admin policy.

It is also recommended that you have a detailed idea about the Lean Budget module before you view this chart.

Navigating to the Analytics

To navigate to this analytics, go to the Portfolio Board menu > Lean Budget > Portfolio Budget Tracking and Monitoring.

Interpreting the Chart

The cards (Themes and Epics) in the Portfolio Board are represented as a bubble having an outer and inner circle. As the planned and actual cost of the Portfolio cards change and their child cards get completed delivering certain story points or any other units over the course of time, the bubble moves from left to right and the inner and outer circles change its spherical shape proportionately.
The bubble chart evaluates the relationship among three numeric data dimensions:

  • Y-axis: The range of total delivered units as aggregated from the value entered in the Estimate field of each lowest level cards (such as User Stories)
  • X-axis: The range of aggregated completion percentage of the child cards as they are archived or moved to or beyond the Done column in the value stream.
  • Bubble size: Each bubble represents an Epic or Theme. The outer circle of the bubble represents the planned cost and the inner circle represents the actual cost.
    Note: To show both the circles, relevant data should be present in the system and the Show Actual checkbox should be selected.
  • Slippage Indicator: The extreme outer circle will indicate how a Theme or Epic is deviating from its ideal completion. The circle will change the colors based on the slippage percentage. To know more about it, read here.

You can further refine the scope of the chart by selecting the particular card type like Theme, Epic from the drop-down list.
You can also decide whether to show the circle for the Actual cost in the bubble by selecting the Show Actual checkbox.

Each bubble starts from the left of the chart with 0% completion and gradually moves to the right towards 100% completion. As you drag the slider (as mentioned above), the bubble is seen taking its journey from initiation to completion against the XY axis.

During its journey, the shape of the inner circle changes as the actual cost of a Theme or Epic changes. To know more about how the actual and planned cost is calculated, see this Help topic. If the actual cost increases, the inner circle grows and the gap between the inner and outer circle gets thinner.

The bubble also changes its position around the XY points as the delivered units (as calculated from the value entered the Estimate field of the lowest level cards) and the total completion percentage (calculated based on the number of child cards being archived or moved to or beyond the Done column) of the Epic or Theme card increases.

If you hover over a bubble, you can view the following details of the card:

  • Card No
  • Card Title
  • % Completed: Calculated based on the number of child cards being archived or moved to or beyond the Done column
  • UOM (Points) delivered: Calculated from the value entered the Estimate field of the lowest level cards, such as User Stories.
  • Planned: Value as entered in the Planned Cost field of the card
  • Actual: Actual cost of the To-Dos of the child cards.
  • Date: the date as indicated by the slider.

Slippage Indicator

The Slippage indicator encompassing the outer circle will indicate how a Theme or Epic is deviating from its ideal completion. Based on the slippage percentage, the ring will change the color from green, orange to red indicating how well the work is moving towards its completion.

Note: You must select the Show Slippage checkbox to view the Slippage Indicator.

The slippage percentage is calculated based on the following formula:

 {(Actual/planned) *100} – % completed 

The color of the Slippage Indicator ring will change based on the following range of slippage percentage:

  • If the value is in between the 0% – 30%, then the Slippage Indicator will be shown in green.
  • If the value is in between the 30% – 80%, then the Slippage Indicator will be shown in amber.
  • If the value is above 80%, then the Slippage Indicator will be shown in red.

 

Chart Playback

You can use the chart playback feature to observe the flow of the cards over a certain date range. Play, pause, increase or decrease the speed of the playback and view how the bubbles change shape as they move from left to right.
